Everything you need to know about borrowing

Take advantage of everything the Library has to offer with your very own library card.

This will allow you to:

  • Borrow books, movies, games and more ...
  • Use the computer and internet
  • Place items on hold
  • Join our programs and use our services

Get a Library Card

Library cards are available free of charge to anyone who lives, attends school or works within Halton Hills. Adults need simply to show a piece of identification with their address at one of our service desks. You will be asked to complete a registration form.

Parents are encouraged to obtain library cards for their children. Cards for children have special features to support early literacy and library use. Having a children's card is also required for registration in children's programs.  A child will need to have a parent present in order to obtain a library card.  Young people attending high school are able to apply on their own by showing their student identification.

Your library card can be used at both branches of the Halton Hills Public Library and items borrowed may be returned to either branch.

Please treat your library card like a credit card. You are responsible for all material borrowed on it. Avoid lending your card or any library material that you borrow. Each family member should have their own card.

Parents or legal guardians are responsible for their children in the library, for their choice of material borrowed and for any charges on their cards.

Please report changes in addresses, telephone numbers and lost or stolen library cards.

Eligibility for membership is extended on a reciprocal basis to the members of other public libraries in the Regions of Halton and the County of Wellington. Members of other libraries in these regions, by presenting their card from their home library as proof of eligibility, may register in Halton Hills with no charge.

Borrow Items

You may borrow a maximum of 50 items on your card. In an effort to share our resources, there is a 3 item per topic limit on non-fiction titles. The loan period for most items is 3 weeks – check out our loan period and fines chart to be sure when your material is due back.

If there is an item at another library that you are interested in borrowing, you may request it through our InterLibrary Loan Service

Place a Hold

Holds can be placed on items in three different ways:

  • Online – All you need is your library card number. Enter the library catalogue and follow the on-screen instructions.
  • In person – Our Service Desk staff would be pleased to enter the hold information for you.
  • Over the phone – Call 905-873-2681 during regular business hours.

Renew Materials

Not finished enjoying your book or video game? No problem. Materials without holds (holds are requests for the item made by another patron) can be easily renewed on our website through the catalogue, over the phone at (905) 873-2681 or in person at the branch of your choice.


Materials can be returned through the 24-hour drop slots at either branch, 7 days a week.

Interlibrary Loans

HHPL belongs to an extensive interlibrary loan network of library systems that allows us to borrow items from public, academic and special libraries within the province. We are also able to borrow items from libraries across the country and even across North America.

Self-Serve Interlibrary Loans

The Halton Hills Public Library’s Self Serve Interlibrary Loan Service allows frequent users of the interlibrary loan service to place the initial requests for materials directly from the lending libraries. This helps speed up the process of placing the requests and hopefully brings the requested titles in sooner.

Please ensure that HHPL does not own the title before placing a request.

Please note that if you replace your Halton Hills Public Library card, you will need to inform the Interlibrary Loan Department in order to avoid any delays in your ability to use the Self-serve interlibrary loan service. Unfortunately the interlibrary loan system is not connected to the Halton Hills Public Library catalogue.

Contact Us to get set up as a Self Serve interlibrary loan patron if you are a frequent user of the Interlibrary Loan service. You will be required to meet with a staff member for a brief training session which takes approximately 10-15 minutes.

Interlibrary Loans Frequently Asked Questions

What is an interlibrary loan?

Interlibrary loans are the way library materials are made available from one library system to another. If the Halton Hills Public Library does not own an item that you need, our Interlibrary Loans Department will try to get a copy sent from another library system.

How do I get an interlibrary loan?

You must have a Halton Hills Public Library card that is in good standing. Requests can be placed in person at either branch, over the phone or using the Interlibrary Loan Online Request Form. The more information you have on the item you’d like to request, the easier it is for staff to locate it. Knowing the complete title, author, publication year and any series information is helpful. Please contact the Information Services Staff if you need help verifying the author or title before placing your request.

When your interlibrary loan arrives and is ready for pickup, you will be notified by telephone. Please note that if you provide an email address at the time of your request, you will receive an email letting you know that the item you requested has been received at HHPL. This email is automatically generated from our provincial interlibrary loan system. Please wait until you hear from HHPL staff before coming to the library to pickup your item.

Frequent users of the interlibrary loan service are encouraged to contact us about the self-serve interlibrary loan program that allows you to place your own holds on materials from other library systems.

How long does an interlibrary loan take?

The length of time varies. Materials readily available when requested from a library system within Halton Region may arrive within 2 weeks, but materials not readily available or from outside Halton Region may take 4 or more weeks to arrive at HHPL.

The time depends upon several factors such as the availability of the materials, shipping and transit time. Materials send from other provinces or from outside Canada will also take longer. If the requested material is time-sensitive, please indicate this in your request or speak to our Information Services staff before placing your request.

Do I have to pay?

Our service is free. HHPL tries to locate materials without charge; however, the lending fees are set by the lending library. Fees can range anywhere from $8.00 to $25.00 within Canada and more if a search needs to extend to the USA. Interlibrary loan staff will inform you of the charges before placing the interlibrary loan request.

If the item being requested is time-sensitive, you are encouraged to indicate the maximum amount you are willing to pay when placing your initial request. Fines are charged for materials returned late. See Loan Periods and Fines for details.

You are responsible for replacement cost of lost or damaged materials.

What is available through interlibrary loan?

The most common items requested through interlibrary loan include:

  • Titles not owned by Halton Hills Public Library
  • Books that are more than 2 years old and not in high demand
  • Photocopies of newspaper, magazine and journal articles not available in our eResources databases
  • Photocopies of reference sources
  • Microfilms/Microfiche (may only be viewed at Georgetown Branch)
  • Additional copies of titles for book clubs

What material may not be requested?

In general, most library systems are not willing to lend the following items and therefore they do not qualify for an interlibrary loan request:

  • Books owned by Halton Hills Public Library (unless designated Lost or Missing or if additional copies are needed for a book club).
  • New titles (Books published and/or copyrighted within the last 24 months)
  • Bestsellers or any popular title with a long holds queue
  • Textbooks for academic courses
  • Complete issues or bound volumes of magazines 
  • AV materials (DVDs, Blu-rays, CDs, audiobooks, video games, etc.)

An item that doesn't qualify for interlibrary loan may be recommended to us as a Purchase Suggestion particularly if it has been recently published or has attracted popular interest.

Is there a limit on interlibrary loan requests?

There is no limit on the number of interlibrary loan requests; however, interlibrary loans cannot be renewed. Please keep the loan periods in mind when requesting materials.

How can I check the status of my interlibrary loan request?

All requests remain pending until the requested item is available for pickup at your chosen branch.

If an item is unavailable, a note will be placed in your record indicating that the material requested is unavailable.

If there is no note in your record, you can assume that the Interlibrary Loans Department is still working on your request. Please allow 4-8 weeks or longer to complete your request.

How long may I keep the interlibrary loan item?

The loan periods are the same as with other HHPL library materials, although this period may be shortened by the lending library. The lending library may restrict the material to in-library use only.

Interlibrary loans cannot be renewed. If you anticipate needing the item longer, please ask about an extended loan when placing your request.

How do I cancel my online interlibrary loan requests?

Please call 905-873-2681 and ask for the Interlibrary Loans Department. Please note: if you have agreed to pay any fees in order to obtain an item, these fees may still be owing if the item is already on its way to HHPL when we receive your cancellation request. HHPL will not charge any further cancellation fees.

I regularly request interlibrary loans. How do I sign up for the self –serve interlibrary loan service?

Simply use the Contact Us form to ask to get set up. Someone from the interlibrary loans department will contact you to arrange a demonstration of the self serve interlibrary loan catalogue and explain the process for placing a request.

Can I get extra copies of titles for my Book Club through the Interlibrary Loan Service?

Yes, book clubs can request additional copies of materials even if the title is owned by HHPL. Please let staff know at the time the request is placed that this is for a book club. Staff will also want to know the number of copies needed and whether you will need an extended loan period.
